TL;DR — the short answer

  • A WhatsApp CRM is one of two things: a CRM that connects to WhatsApp (HubSpot, Pipedrive, Zoho), or a WhatsApp inbox that syncs to your CRM (respond.io, SleekFlow, WATI, Kommo, Pepper Cloud). Choose the architecture before the brand.
  • Only buy tools on the official WhatsApp Business Platform. WhatsApp Web extensions and unofficial "connectors" run on a number WhatsApp can ban without notice. The test: is the number in a WhatsApp Business Account inside your own Meta Business portfolio?
  • Public entry prices at time of writing (8 Oct 2026): WATI from US$29/month (3 users; geo-priced, so your view may differ), Kommo from US$25/user/month (6-month minimum), respond.io from US$79/month (5 users), SleekFlow from US$149/month (3 users, US$199 with AI). HubSpot needs a Professional tier; Pipedrive and Zoho include WhatsApp in paid plans; Pepper Cloud is quote-based.
  • Meta's per-message fees sit on top of every subscription above, and from 1 October 2026 free-form service replies are metered after the first 1,000 delivered per number per month.
  • A free WhatsApp CRM exists (the WhatsApp Business app plus labels and a spreadsheet) and it stops working the day a second person needs the inbox.

Where we stand before you read the comparison

Every page that currently ranks for "whatsapp crm" in Singapore is a vendor describing its own product or a Reddit thread. So, our position first. Finyki is an implementation shop. Our sales automation work regularly means wiring a WhatsApp inbox into a client's CRM and building routing and reporting on top, on more than one of the platforms below.

We do not resell any of them. We hold no reseller agreement and take no referral fee from any vendor named here. We will tell you when the right answer is a cheaper tool, or no new tool at all.

What is a WhatsApp CRM? (and the three shapes it comes in)

A WhatsApp CRM is software that attaches your WhatsApp Business number to a customer record, so every chat, phone number and deal stage lands in one place that more than one person can see. The point is not the messaging; your team already messages. The point is that a conversation stops living in one rep's phone and starts living in a pipeline you own.

In practice, "crm for whatsapp" describes three different architectures, and the first decision is which one you are buying.

1. CRM-native integration

Your existing CRM talks to WhatsApp's Business Platform directly. HubSpot, Pipedrive and Zoho CRM all do this now. Messages land on the contact or deal record, templates go out from inside the CRM, and there is no second tool to log into. The trade: thinner inbox features than a dedicated messaging platform, and HubSpot gates it to Professional tiers.

2. A conversation platform in the middle

respond.io, SleekFlow and WATI sit between WhatsApp (plus Instagram, Messenger, web chat, sometimes Telegram and LINE) and your CRM. They are built for volume: shared inbox, assignment rules, SLAs, broadcasts, bots, and a sync into HubSpot, Salesforce, Pipedrive or Zoho. The trade: a second system to pay for and keep in sync.

3. A WhatsApp-first CRM

Kommo and Singapore's own Pepper Cloud put pipeline and inbox in one product, with WhatsApp as the primary channel. It is the simplest shape for a small sales team with no CRM yet. The trade: if you outgrow it, you migrate both the pipeline and the conversations.

A fourth category, browser extensions that run inside WhatsApp Web, exists and several rank for this term. We do not recommend any of them for a business number, for the reason in the next section.

Official API or WhatsApp Web hack: ask this before you ask the price

There are two ways software can touch your WhatsApp number. One is the official WhatsApp Business Platform (the Cloud API), direct from Meta or through a Business Solution Provider. Your number is registered to a Meta Business portfolio you control, templates go through Meta's approval, many agents can work one number, and every message has an audit trail.

The other is a tool that keeps a WhatsApp Web session alive on a server or in a browser extension and drives it like a person would. It is cheaper, it works with the number you have, and it is against WhatsApp's terms. WhatsApp's help pages are clear that accounts on unofficial or automated clients can be banned, temporarily at first and permanently for repeat use. You then lose the number your customers have saved, the chat history your team works from, and whatever ran on top, usually discovered as a ban notice with a full pipeline inside the account.

The one question that separates them

Ask: is the number registered to a WhatsApp Business Account inside my own Meta Business portfolio? If the vendor cannot show you that account, you are buying the hack. A QR scan alone no longer tells you: Meta's official "coexistence" onboarding (sold as "WhatsApp Business app sync" or similar) also starts with a scan from the WhatsApp Business app, then registers the number to a WABA and keeps app and API on one number. The hack never ends in a WABA you control.

The best WhatsApp CRM options for Singapore teams, compared

Listed alphabetically. Prices are the public list prices on each vendor's pricing page as we read them on 8 October 2026, in USD (SleekFlow has an SGD toggle on its Singapore page; we read the USD view). WATI's page is geo-priced, so its line is the lowest view we saw. Our rough SGD conversions use about 1.30. Every figure excludes Meta's per-message fees. Check the live page before you sign; these change often.

HubSpot (hubspot whatsapp integration)

HubSpot's native WhatsApp integration is the one Singapore marketing teams ask us about most, and the answer is usually "yes, but". It works well: shared inbox, WhatsApp on the contact timeline, templates in workflows. It is available on Marketing Hub or Service Hub Professional and Enterprise, not Starter, and HubSpot's documentation caps template messages at 1,000 per month across connected numbers. A Sales Hub-only team cannot use it and is back to a conversation platform that syncs in.

Kommo

Kommo is the lowest-friction WhatsApp CRM for a team with no CRM at all: pipeline, inbox and chatbot builder in one, per-user pricing, official API from the base plan. Two things to read closely: monthly billing is not offered, so you commit for six months, and Kommo has historically also offered a "Lite" connection off a regular WhatsApp number. Its current documentation lists the official integration plus "WhatsApp Business app sync" (Meta's coexistence route), so check that your number ends up in a WABA you own rather than looking for the word "Lite".

Pepper Cloud

Pepper Cloud is the Singapore-built option: a local team, familiarity with PDPA questions, a Xero integration, and a sales CRM shaped around WhatsApp rather than email. We could not find a published statement of its WhatsApp partner status on its site, so ask directly whether the number is registered to a WhatsApp Business Account in your own Meta portfolio. Pricing is not published either; go in with a per-user SGD figure to compare against the table and ask what the WhatsApp line items are on top.

Pipedrive

Pipedrive's own WhatsApp integration lets reps reply from the deal view and keeps the conversation on the deal, which is what a pipeline-driven team wants. It needs the Growth plan or above and Pipedrive still labels it beta. If it is not yet switched on for your account, the marketplace has official-API connectors (Ulgebra's WABA integration, WhatsApp by Twilio) that do the same job with an extra bill.

respond.io

respond.io is the conversation platform we meet most often in the Singapore support and inside-sales teams we work with, usually once they have outgrown a shared phone. The pricing is honest: users included per plan, extra users priced, Meta fees excluded and topped up inside the platform. Growth and Advanced add a monthly-active-contact cap with overage, the number to model if you run broadcasts.

SleekFlow

SleekFlow is Hong Kong-founded with a real Singapore presence and an SGD view of its pricing on its local page; we read the USD view. It is strongest where WhatsApp meets commerce: catalog, payments, broadcasts, Instagram and Shopify in one inbox. Seats are fewer at entry than respond.io (3 on Pro), Pro carries an allowance of about 500 monthly active contacts, and AI adds roughly US$50 a month, so compare people and contacts, not headline price.

WATI

WATI is the cheapest official entry point on this list and the one we point very small teams to for broadcasts plus a simple shared inbox. One caution: the pricing page is geo-priced. The view we were served showed Growth at US$29 and Pro at US$99; the US-region view shows roughly double for Growth (about US$59 annual, US$69 monthly), which is the figure our WhatsApp Business API pricing guide uses. Get your quote in writing. Growth allows no extra users, so a growing team moves to Pro quickly, where WATI and respond.io's Starter are closer in cost than the headline suggests. Ask for WATI's Singapore rate card before comparing it to a direct Meta bill.

Zoho CRM

Zoho is an official BSP and its WhatsApp integration is in every paid Zoho CRM edition, the cheapest CRM-native route for a team already on Zoho (Books, Desk, Campaigns).

Which CRMs are compatible with WhatsApp?

Almost all of them, by one of three routes.

Is there a free CRM for WhatsApp? What you actually lose

Yes, and it is the one you probably already have. The WhatsApp Business app is free, with labels, quick replies, greeting and away messages, a catalog, and linked devices so a couple of people can share the number. Pair it with a spreadsheet and you have a WhatsApp CRM for one founder and a part-time assistant.

Beyond that, free gets thin fast. HubSpot's free CRM excludes the WhatsApp inbox. Zoho CRM's integration is in paid editions. None of the conversation platforms above has a free tier; most offer a one- to two-week trial. The browser extensions are the only "free forever" WhatsApp CRM software, and they are the hack. What you give up by staying free, in the order it starts to hurt:

  1. Assignment. Two people on one number means both answering the same customer, or nobody.
  2. The record. When a rep leaves, the conversations leave on their phone. A CRM keeps them on the account.
  3. Templates and the 24-hour window. Only the API lets you message a customer after 24 hours of silence, with an approved template. That is the whole of follow-up.
  4. Reporting. Response time, conversations per rep, leads by source: none of it exists in the app.
  5. PDPA hygiene. Consent, opt-outs and access requests need a field, not a memory.

Which WhatsApp CRM for which team: three Singapore scenarios

These three are the shapes behind most "best whatsapp crm singapore" questions we get, with the software band we would expect before Meta fees. The bands are our working estimates, not quotes.

A 3-person founder-led sales team, no CRM yet

Buy the pipeline and the inbox together. Kommo or Pepper Cloud gives you both in one login; Pipedrive with its native WhatsApp integration is the better long-term pipeline if you expect to hire reps. Expect roughly SGD 100–250 a month. Spend the saved money on writing down your qualification criteria, because a WhatsApp CRM amplifies whatever process you point it at; the sequencing in our what to automate after raising post applies here.

A 15-seat support desk, WhatsApp for customer service

This is respond.io or SleekFlow territory, connected to whichever CRM or help desk already holds the customer. You need assignment rules, SLAs, a bot to deflect the "where is my order" tier, and reporting a manager will read. Expect roughly SGD 400–1,000 a month in platform fees, scaling with seats and active contacts; one checkable point is respond.io Advanced at US$279 for 10 users plus five extra at US$24, about US$399 or roughly SGD 520, before contact overage. The October 2026 service-message change hits this team hardest, because its traffic is almost all free-form replies; model it before you pick a plan.

A multi-outlet retail or clinic group

Broadcasts, catalog, bookings, and one number versus one per outlet. WATI or SleekFlow for the WhatsApp marketing side, synced to whatever runs the loyalty or booking data. The hidden decisions are the DNC check on every marketing send and how an inbound "is this still available" reaches the right outlet. Budget roughly SGD 150–600 a month in software, then watch the marketing-template line on the Meta bill; it will outgrow the subscription.

The bill nobody puts on the pricing page: Meta's per-message fees

Every subscription in the table excludes what Meta charges for messages, the line that surprises people. Since July 2025 WhatsApp bills per delivered template message by category (marketing, utility, authentication) and destination country. Service messages, the free-form replies inside the 24-hour window, were free until 30 September 2026. From 1 October 2026 Meta bills delivered service messages beyond the first 1,000 per business phone number each month, and utility templates inside the open window are billed too. Conversations started from a click-to-WhatsApp ad or a Facebook Page button still open a free entry window, 72 hours at launch and reported as up to 7 days since late September 2026.

For the CRM choice this means a tool that keeps a conversation on one verified number, reuses the free entry window and avoids unnecessary templates costs less to run than one with a marginally cheaper subscription. Which CRM software is best for texting?

In Singapore "texting" a customer means WhatsApp, with SMS kept for OTPs. So the question collapses into the one this post answers: pick by where your complexity lives. If the hard part is the pipeline (stages, follow-ups, forecasting), Pipedrive or HubSpot keeps the text on the deal. If the hard part is conversation volume (several people answering, bots deflecting the easy ones), respond.io or SleekFlow in front of the CRM wins.
